Copying your 2026 IT budget onto a new spreadsheet is not going to work in 2027 – things are changing too much and too fast for your business to take on that risk. Hardware is getting more expensive, tax rules are changing and inventory is disappearing as fast as vendors can quote you. In this type of market, sticking with the old and familiar can become increasingly costly – which is why SWK Technologies recommends taking this year to start evaluating what from your IT stack can be migrated to the cloud.

SWK has put together this article to help your business build an IT budget for 2027 that accounts for rising hardware prices, upcoming support deadlines and the new tax treatment of equipment purchases:

Tie Your IT Budget to Business Goals

Your IT budgeting needs to be able to fit with your business planning for the year, including factors like headcount additions, software rollouts or compliance deadlines. Each of those initiatives adds users, storage, licenses and support requirements, and getting finance and IT to agree on those numbers before pricing begins keeps the budget from shifting later. Bring your department heads into that conversation early, since they know which applications and staffing changes the plan depends on.

Plan for Hardware Prices and Support Deadlines

Hardware prices climbed through 2026 as large data center projects absorbed memory and storage supply, and vendors have had to shorten quote windows to keep up with the exponentially growing demand for inventory. If you plan a hardware refresh for late 2027, get the quote now and record its expiration date next to the line item in your IT hardware budget.

Another factor to consider is the lifecycle of your current hardware, including the servers where your software and middleware live on. Microsoft ends extended support for Windows Server 2016 on January 12, 2027, so every server still on that version will need an upgrade, a migration or a paid subscription for Extended Security Updates. Sorting your servers by version, age and warranty status gives you a dated line item for each one, and the questions worth asking before replacing a server will help you judge its condition, capacity and expected lifespan.

Compare Hosted and On-premise IT Infrastructure

Owning your hardware is no longer always the cheaper path for your IT budget, and hosting is no longer always the costlier one, so the comparison needs to use numbers from your actual setup instead of a rule of thumb. Cloud service models also divide the responsibilities between you and the provider in different ways, which changes what each line in your infrastructure budget has to cover.

Software as a Service (SaaS) leaves the vendor in charge of the application and everything beneath it, so you only sign in and adjust your own settings. Platform as a Service (PaaS) gives developers a base for building their own applications, while Infrastructure as a Service gives you servers, storage and networking to run your own software. Business management software that has not moved to a pure SaaS model runs on hosted infrastructure (Infrastructure as a Service, or IaaS) instead, either as a single hosted application or as part of a wider infrastructure environment.

Application Hosting

Application hosting moves a single piece of business software, such as your ERP or accounting application, into a private cloud built around your business instead of a shared environment. The provider runs the underlying infrastructure, operating system, backups, licensing and daily support, while you keep control of your software, data and configuration. Infrastructure Hosting (IaaS)

Infrastructure hosting reaches past a single application to cover the whole environment that application depends on. Infrastructure as a Service puts the processing, storage and networking in the provider’s hands, while you run your own operating systems and applications on top of them. SWK’s IaaS applies that model to business software stacks, so your ERP, CRM, file servers, domain controllers and the add-ons connecting them all run from one hosted environment.

The provider holds the physical hosts, network and data center, while you keep responsibility for the operating systems, applications, network controls and data. That makes it worth settling in the provider agreement who patches, monitors and supports everything above the hardware, since your hosted infrastructure budget depends on the answer. Choosing between application hosting and IaaS comes down to how much of your infrastructure you are ready to retire and how closely your software is integrated.

What Lives in a Hosted Environment

A hosted environment contains the same layers as an on-site server room: virtual servers, storage, network components, operating systems and applications, along with the backups that protect all of them. A move starts with an inventory of everything running on your current servers, because forgotten applications, such as a commission calculator on a file server or a production tracker that IT never documented, otherwise turn up in the middle of the project. Moving your applications in phases lets you verify performance and validate costs on a few servers before you commit your entire environment.

Scaling for Growth

Hosted capacity grows or shrinks with demand, so a new service line, added staff or a seasonal rush no longer means buying more hardware. When a project or a third-party integration changes what you need, you adjust the networking, processing and storage you have configured instead of ordering new equipment.

Virtualization and Hybrid Setups

Virtualization splits the hardware you own into several virtual machines, which makes better use of each server but keeps the purchase, the upkeep and the refresh cycle in your IT budget. Cloud hosting moves that hardware to a provider, with deployment options that range from shared public environments to dedicated private ones and hybrid setups that combine the two. A hybrid setup makes sense when part of your environment has strict compliance needs or serves only a few users, such as one on-site server for a specialized application running alongside hosted services for everyone else.

Tariffs and the Refresh Cycle

Owned hardware has to be replaced every few years, and tariffs on imported components raise the price of each replacement while stretching delivery from weeks to months. Stretching older equipment to delay that cost leaves your IT staff handling constant repairs and leaves security gaps open as vendors drop support. Hosting moves the replacement burden to your provider and turns the capital purchase in your IT budget into a monthly expense.

Fixed-Fee and Usage-Based Pricing

Cloud pricing follows two main structures, and each one affects how closely you can forecast your IT budget. Usage-based billing works like an electric bill that rises and falls with traffic, storage and forgotten test environments, which gives large companies room to flex but makes the next invoice harder for smaller businesses to forecast. A fixed-fee agreement bills for the resources you configure instead of the resources you consume, so a traffic spike or an abandoned test server does not change your invoice.

Tax Treatment

Federal law now allows a permanent 100% first-year deduction on qualified property acquired and placed in service after January 19, 2025, which changes how a hardware purchase stacks up against a monthly hosting fee. Your tax adviser can confirm if the specific servers and network equipment you are considering qualify, so settle that before the comparison reaches your technology budget.

Questions to Settle Before Choosing the Cloud

There are three questions you need to ask before your business decides on budgeting for a cloud IT migration in 2027:

  1. Which applications, compliance duties and recovery requirements does your environment need to support?
  2. How much storage do you need and how fast do you need it to scale?
  3. Would rather make one large purchase or pay a monthly fee?

No single answer fits every business, which is why some end up fully hosted, others keep owned hardware and others settle on a mix of both.

Cover the Costs Most Budgets Miss

Costs that repeat only every few years slip off your IT budget when nobody owns the renewal calendar, and with replacement equipment costing more and arriving later, missing any of the five below will hurt more in 2027:

  • Vendor Support Coverage – Active support on firewalls, servers, switches and wireless access points matters more when replacements cost more, since a lapsed contract turns a failure into a rushed purchase.
  • License Renewals – Software subscriptions and multi-year agreements belong on one shared renewal calendar with reminders ahead of each date, so a price change reaches the software budget before the invoice does.
  • Backup and Recovery – Recovery requirements shape the choice among hosted, owned and hybrid setups, and aging backup and continuity hardware or software fails when it is needed most if nobody plans its replacement in the IT budget.
  • Security Awareness Training – Phishing attempts keep arriving and staff need repeated practice spotting them, so security awareness training needs a recurring line in the budget instead of a one-time purchase.
  • End-of-Life Equipment and Software – Equipment and applications past vendor support carry security gaps and compatibility problems, and a replacement schedule lets those costs arrive on a plan rather than as an emergency.

Hold a Contingency Reserve

A reserve line absorbs an emergency repair, a sudden scaling need or a compliance-driven improvement without cutting a funded project. Equipment price swings make a reserve more valuable in 2027, so the more quotes you still have open when your IT budget is approved, the larger the cushion you will want.

Track Spending and Revisit It Quarterly

Compare your actual spending against your IT budget on a regular basis, broken out by cybersecurity, hardware, software and any subcategories that fit your business, and explain every variance instead of absorbing it. A server nearing storage capacity or an application using more memory each month points to an expansion cost before it becomes an emergency purchase.

A quarterly check-in suits 2027 better than an annual one, since equipment quotes expire and vendor prices change within a budget year, so revisit each hardware assumption every three months. Major projects also need a return measure, such as productivity gains, reduced downtime or improved security, so you can confirm the spending met its goal.

Choose Predictable Costs Where Possible

A fixed monthly fee for managed IT services turns support, monitoring and maintenance into a known number, which keeps emergency repairs from throwing off your IT budget. If you already have an internal IT team, co-managed IT adds an outside team that works alongside your existing staff. Either arrangement gives your finance team predictable IT costs to forecast, which matters while equipment prices and delivery dates keep moving.
