In a recent webinar, Consulting and Implementation Team Leader Justin Sanchez of SWK Technologies explored how Acumatica integrates with Shopify and BigCommerce, focusing on essential settings, entity configurations, and practical demonstrations. In the webinar, we covered critical tabs of the connectors, including the connection setup, company and customer configurations, and tax synchronizations. Additionally, Justin compared the integration settings between Shopify and BigCommerce, highlighting key differences. This session illustrated why Acumatica is your go-to eCommerce ERP, offering seamless scalability and connectivity to elevate your retail operations.

Shopify to Acumatica Integration Settings (3:35 – 17:17)

Connecting Shopify with Acumatica streamlines your eCommerce operations, enhancing efficiency and synchronization. In this section, Justin reviews key settings and configurations critical for a successful implementation. He covers common areas encountered during customer integrations, including the different types of entities that can be synced, their sync frequency, and more.

  • The connection settings house the information needed to begin the connection between Acumatica and Shopify including API credentials, Shopify login, and more (3:53)
  • The Entity Settings tab covers the setup of integration entities, the sync direction, the primary system tab, real-time imports and exports, and entity mapping (4:11)
    • Integration entities in Acumatica break out information into separate records such as customer, customer location, and stock items (4:50)
    • The sync direction determines whether records can be imported, exported, or if they are bidirectional (5:26)
    • The primary system column indicates the record’s origin, with Acumatica representing ERP and External System referring to Shopify (6:33)
    • When handling a large number of orders, the Real Time Imports and Exports column shows which records can be carried over in near real time (7:06)
    • The Entity Mapping Colum includes import mapping and filtering for each record (9:20)
  • Customer settings enable adjustments to customer class functions and additional features (12:31)
  • Manage warehouses, retail locations, and synced product inventory with inventory settings (12:48)
  • Customize payment methods, including currency, cash account, and fees, using payment settings (15:12)

Shopify Demonstrations and Testing (17:18 – 34:00)

In this segment, Justin showcases Shopify’s integration with Acumatica, covering key functionalities and setup processes. He walks through creating companies, setting approval processes, extending payment terms, and managing orders. The segment also includes a look at syncing procedures, tax synchronization, and fulfillment tracking within Acumatica, offering insights for optimizing eCommerce integrations.

  • Justin demonstrates B2B functionality in Shopify by walking through:
    • Creating a company and setting up an approval process (17:55)
    • Extending payment terms (19:03)
    • Creating an order with specific payment terms (19:39)
    • The tax synchronization process for orders between Shopify and Acumatica (19:56)
  • A detailed walkthrough of syncing and processing procedures within Acumatica (21:50)
    • Connectivity between Shopify sales orders and manually syncing records (22:20)
    • Reviewing the synced sales order and its paired invoice (25:11)
    • Processing the order in a quick process to create a shipment and a pick list (27:05)
    • Fulfillment status syncing between Acumatica and Shopify (29:30)
    • Viewing an order invoice and its inventory reference number (31:15)
    • Inputting an order tracking number (32:44)

BigCommerce to Acumatica Integration Settings (34:01 – 38:15)

Justin revisits the Acumatica connection settings, this time focusing on the BigCommerce integration. He highlights the similarities with Shopify integration settings while pointing out the specific differences for BigCommerce seen in the entity settings and the inventory settings.  

  • The connection settings for BigCommerce and Acumatica are similar to those for Shopify and Acumatica (34:40)
  • Entity settings are largely similar to the Shopify-Acumatica connection but feature additional fields due to a slightly different price class structure (34:45)
  • Customer and Order Settings are consistent with the settings used for Shopify and Acumatica (36:00)
  • Inventory settings for BigCommerce and Acumatica differ from Shopify due to a different syncing style (36:13)

BigCommerce Demonstration and Testing (38:25 – 48:30)

In this demonstration, Justin takes a detailed look at the BigCommerce integration with Acumatica, highlighting the process from customer setup to order fulfillment. Unlike Shopify, BigCommerce does not have a company section, which Justin addresses as he walks through adding new customers and placing orders. This section covers everything from determining customer types and entering details to processing orders and syncing inventory between BigCommerce and Acumatica.

  • Justin demonstrates the customer setup process in BigCommerce (38:27)
    • Determining whether you’re dealing with a customer or a company in BigCommerce (38:31)
    • Entering customer details, including wholesale vs retail price class and exemptions (38:36)
  • Adding an order using the customer he set up in BigCommerce (40:26)
    • Inserting customer information and creating an order for an existing customer vs a new customer (40:30)
    • Entering billing information (40:42)
    • Adding products to an order and seeing the impact of adjusting the customer price class on pricing. (41:21)
    • Choosing Shipping method (42:20)
    • Entering payment information (42:28)
  • Processing the Sales order inside of Acumatica (43:00)
    • Preparing the records (43:03)
    • Processing the order (43:40)
    • Reviewing aggregate inventory in BigCommerce (45:00)
    • Viewing synced sales orders and customer records in Acumatica (46:03)

Shopify & BigCommerce: Capabilities and Benefits with Acumatica (48:31 – 50:15)

Justin gives a quick summary of the webinar, reviewing the key benefits of integrating Shopify or BigCommerce with Acumatica.
